Your Phothera device keeps track of how many treatments you have left. When you're running low (under 20 treatments) or have used all your treatments, you'll need a refill code to continue therapy.

How to Find Your Device Code
For DT Controller Devices (Phothera 100, 200, 400, 600):
1. Quick Method:
- Press the CANCEL button and LEFT ARROW button at the same time
- Your screen will show a code starting with "C" followed by three numbers (e.g., like C123)
- Write down this complete code
2. Menu Method:
- Enter your unlock code (usually "0007")
- Press CANCEL, LEFT ARROW, and PLAY/PAUSE buttons all together
- When the screen shows "- - - 1", press UP ARROW four times until it shows "- - - 5"
- Press PLAY/PAUSE to enter Menu 5
- The screen will display your Device Code (e.g., CXXX, other code formats exist on older devices). Write down the complete code
For ClearLink Controller Devices (Phothera 600, 600-3D, 400, Pro series):
- Your device code will automatically appear when treatments are low or exhausted
- You can also find it in your device settings menu
Getting Your Refill Treatment Code
Don't wait - get code when 5-10 treatments remain. Once you have your Device Code:
- Contact your prescribing physician's office (e.g., your provider, nurse, or staff member)
- Give them the following information:
- Your full name and date of birth
- Your device code (CXXX format)
- Confirmation that treatments are nearly exhausted
- Request for treatment refill
- Your provider will process your refill, they will
- Review your treatment progress
- Determine the appropriate number of additional treatments
- Use ClearLink Provider Portal, or Phothera's online tool to generate refill treatment code
- Provide you with a 4-digit refill treatment code
- You'll receive a Treatment Code (4-digit number, with no letters, e.g., 0972, 1435) either directly from your provider. Please call your provider to receive a refill code. Usually the code is delivered by phone, email or if you have opt-in also via text message.
Entering Your Refill Code
⚠️ IMPORTANT: You must complete ALL current treatments before entering the refill code
For Phothera 100/100XL:
- Complete your last treatment - device shows device code (CXXX)
- Press ▶ once - display shows "0000" with last digit flashing
- Enter refill code, like setting treatment time:
- For code "0972": Press ▲ 2 times, ▶ 1 time, ▲ 7 times, ▶ 1 time, ▲ 9 times
- Press ▶ to confirm
- If correct: Device flashes number of treatments added, returns to "00:00"
- If incorrect: Device flashes twice, shows device code - try again
For DT Controller devices (200, 400, 600):
- Complete last treatment - device shows device code
- Press Cancel + Left Arrow simultaneously
- Enter 4-digit refill code using UP arrow and LEFT arrow buttons
- Press Play/Pause to confirm
- Success: Device confirms treatments added
- Error: Device flashes code twice, shows device code again
For ClearLink Controller devices:
- Complete the last treatment
- Follow on-screen prompts for refill code entry
- Use the touchscreen keypad to enter the 4-digit refill code
- Press Enter to confirm
Troubleshooting Refill Code Problems
Problem: "Device won't accept my refill code"
Check:
- ✅ All current treatments are truly exhausted
- ✅ Using correct 4-digit refill code (no letters)
- ✅ Entering code correctly (practice with unlock code first)
- ✅ Device is showing device code (CXXX), not error code
Problem: "I entered the wrong code."
- Don't worry - your device will show your device code again
- Try again with the correct 4-digit code
- No harm done - unlimited attempts allowed
Problem: "Provider says they can't get refill code"
- Verify they're using ClearLink Provider Portal or Phothera's online tool
- Provide your exact device code again
- Alternative: Provider can obtain your refill codes automatically online in minutes from either ClearLink Portal or our online refill code generator.
Problem: "My device code changed."
- This is normal - device codes are randomly generated
- Always use the currently displayed code
- Don't use old device codes from previous refills
Please remember that we CANNOT generate a new treatment code directly, as we need provider authorization. Use the following FORM and select the following options: Patient > I am a current patient > I need a refill code... if you have ongoing issues with your refill code.
